Archiving files is a resource-consuming process. Till now, it was done on machines currently in use. This ate up the machine resources and made them less ‘available’ to the users for actual task. Thus, the process of archiving files is now migrated to clouds and the users like the concept because of the ease of access and security of information it offers. Here are certain methods of archiving files and retrieving data that are worth looking forward to.

UNC path – how it is useful in archiving files

UNC path is applicable when shared folders are in use. Storing archived files in shared folders is a new way of maintaining archives. The shared folder concept allows the users to access the files stored in some other machines. To access such shared files, both the machines should have file and print services for Microsoft Networks installed. The general structure of UNC path looks something like this:  \\server\share. \\server\public

When this command is executed, a shared folder called ‘public’ held on server is opened. To make this command work between two machines, server can be replaced with I.P address of the machine from which the file is to be shared. UNC path is one of the ways of accessing the files shared on other machines. There are other start-to-finish NTFS solutions available that can allow archiving files without adding too much to the cost.

With latest tools like (v 3.460) of ArchiverFS in place, the UNC path can be connected to various other target destinations apart from another UNC path, such as, NAS device, VM, CIFS share and iSCSI volume, etc. Also, the cloud solutions like Azure, Amazon AWS, and Google Cloud can also be fixed as target destinations. Only condition is that both the source and target volumes should be formatted with NTFS, which will allow seamless content migration between them.

NTFS technology

NTFS or new technology file system is a reliable solution for archiving files in quite a resource-efficient manner. This system does not involve the use of any proprietary storage mechanism or data base for saving archived files. In fact, flat files and folders are used end-to-end to create the content management ecosystem. Since no files or their metadata is stored in a database, the modern archiving solutions are truly scalable. They are exemplary in terms of storage efficiency too. For example, the storage capacity is increased to 3.4 PetaBytes. This is similar to the storage capacity of a data center minus the resources required to set up one. In fact, just a small VM with 4 virtual CPUs and 6GB of RAM are required to achieve this storage capacity with flat file storage.

Direct File Access System

Another important feature to look for in an archiving solution is ease of access. If there are agents or any other components involved, it not only adds to the infrastructural costs, but also makes access difficult and time-consuming. So, ‘Direct File Access’ system is suitable for retrieving the files. This system works as a part of daily maintenance routine and retrieves files needed without disrupting the working schedule of the machines. Also, information regarding the files retrieved is also maintained in the form of file system comprising of directory structure and related file properties, etc.

3-tier storage

An archiving system that is usable across all existing platforms and has utility in various fields of work proves to be the resource capable of delivering good value. The one solution fitting all requirements is ideal for keeping the resource pool de-cluttered and also allows makers to generate more revenue off the single offering. One such system is 3 tier storage structures.

A 3-tier storage system comes with facilities such as:

  1. Compatibility with all versions of Windows Servers such as Windows 2003 Server, Server 2016 and Windows Storage Server and so on.
  1. Supports Windows Server de-duplication, Windows compression, SAN based replication, DFS etc.
  1. This system is usable in all types of business environments where security of data is quite important, such as, law enforcement departments, military contractors, other multi-billion dollar ventures, and so on.
  1. Offers daily maintenance facility that enables bringing recently used files back to the current system and replicates permissions from live system to the second line of storage.
  1. Availability of Unicode support for all prevalent character sets used in popular languages throughout the world, such as, Chinese, Arabic, English, Hindi and many more.

In addition to it, the use of stubs is another shortcut to archiving files. A provision for seamless links is made to ensure that the stub behaves exactly like the file removed. The ability to use the file and folder shortcuts just like Windows shortcuts offer enhanced compatibility and even Apple Macs can access these with the help of add-ons.

Another premise of saving cost comes in the form of pay-as-you-use models of subscriptions where file processing jobs are charged only when these are put to use. The business owners who have in-house storage servers do not require paying for the data lying idle in second line of storage. Thus, only the activity that involves processing and transferring of files from one line to another attracts cost. Such flexible model of payment is certainly a breakthrough in archives management technology.

In addition to being source-efficient, the modern archiving solutions need to comply with GDPR data protection regulations. Such safety procedures are quite useful given the need to tackle the risk of hackers and other such entities that come along with the present internet based working environments.

To conclude, the storage of archives is certainly a resource-consuming task. Thanks to the improved ways of maintaining archives that the users can now have these less used files within reach, but in different machine and in totally safe environment. The users are given the permission as per the authority level, and the shortcuts are easy to understand and quick to use in case the authority changes hands.  So, these are certain new, yet effective solutions that are being promoted as wise and resource-efficient way of maintaining archived data in any organization, click here to know more about these.
